Responsible to provide administrative support for 3+ Global executives. Work includes various administrative tasks; i.e., scheduling, coordination, typing, involving the ability to make decisions based on established policies and procedures. Clerical skills require a high degree of accuracy and coordination. Conserve manager's time by assuming administrative details
- General Support for assigned executives:
- Scheduling meetings and calendars, including global requirements
- Answering phones - place calls, return calls, and screen call; take clear concise and accurate messages
- Gather and analyze routine data
- File and maintain records, confidential files and GM specific reports
- Schedule meet-me-line reservations
- Prepare travel arrangements
- Manage expense reports
- Approval, as Floor Coordinator, for electronic signatures for all Federal Express Packages, Stationary supplies/receipts
- Assist in reporting repairs/problems with equipment in town commons, [copier, printers, fax machines, vending machines,]
- Schedule catering arrangements, when required
Qualifications
Qualifications:
- Associate’s degree or equivalent experience
- 5 + years of executive assistant experience
- High level of interpersonal skills to work effectively with others
- High level of computer skills including: Word, PowerPoint, Excel, Outlook
- Self-motivated
- Ability to organize and plan effectively
- Demonstrated analytical skills
- High level of problem solving ability including independent judgment and decision making skills
- Highly proficient oral and written communication skills
- Takes initiative and works independently with little supervision
